Top
4. Q: How does TeleMessage Mail Plug-in work with SMS services?
A: TeleMessage Mail Plug-in can send alerts when a new e-mail is received. If you have a digital cellular phone with SMS capability, TeleMessage can send e-mail alerts to your phone's display. 5. Q: How does TeleMessage pricing work?
A: You can learn about our pricing at our website pricing page.
TeleMessage uses "all-inclusive" message rates:
Prices differ based on destination country for SMS messages, calls to landline phones and mobile phones. You can check our SMS coverage here.
There is a charge for each SMS text messsage, or for each 1-minute interval of a voice or fax phone call.
Pricing for US destinations is $0.08 per SMS message and $.10 for each 1-minute interval of a voice or fax phone call.
You can send SMS messages to a group of recipients but, since each recipient will receive their own SMS message, the pricing will be based on the total number of recipients. For instance, if you send one SMS message to 5 recipients this counts as 5 SMS messages.
The pricing for US destinations would result in a charge of $0.40 for the group SMS message in this example.
If you send a two-page fax to a single US destination and it takes 1 minute per page then the cost would be $0.20 to send the fax.
You can also calculate the price in other currencies using a link on our Pricing page.

6. Q: Where can I find your privacy statement?

4. Q: I am using a non-Windows and/or non-Outlook system so cannot use your plug-in's. Do you support any type of web interface such as a web form, some kind of XML interface, or an e-mail interface which supports delivery of an e-mail as an SMS message?
A: We can offer you either of two methods that will allow you to integrate with your service.
  1. SMTP interface allows you to send SMS messages by sending TeleMessage an e-mail using a special account. The messages can be sent from your software as long as the originating address is a specific SMTP e-mail address. There is no need to send the messages through Outlook. There is a special set-up and a fee for the SMTP account. Please contact sales to set-up this account
  2. XML-based interface that lets you send messages from your application. You can learn more about this interface at our Multi Alert website. Once again there is no need to send the messages through Outlook.

3. Q: I am having problems signing up for a TeleMessage account. What sorts of things can cause this?
A: We may not be able to find a TeleMessage account opened with your e-mail address.
If you are not sure that you have signed up for a TeleMessage account you can sign up here.
You may already have signed up for a TeleMessage account with your mobile number and e-mail address details. Since you can only sign up for one account per mobile number you will receive an error message when trying to sign up for another account.
In some cases our numbering plan database incorrectly shows your mobile number as being invalid and not belonging to a supported carrier. If this is the case, then you cannot currently sign up for a TeleMessage account. However, if you notify us that you are having problems signing up, we can work with the carrier to update our numbering plan to include your number within a week or two.
You can also check our SMS coverage to make sure your mobile provider is in our coverage plan.
If you would like us to extend our coverage to a country/area code we do not currently serve, please contact us.
Also, please double check that your mobile phone number is entered in International format, i.e. the number that a caller from outside of your country would dial to call your mobile phone.
This generally takes the form of XXX YYY ZZZZZZZ where XXX is the country code (1, 2, or 3 digits), YYY is the city or area code (often 3 digits but not used in some countries), and ZZZZZZZ is the phone number (typically 6 to 8 digits, although it varies by country).
If this still does not work, please contact us and provide any error messages or other failure indications you are receiving.

4. Q: Why do I need a password with my TeleMessage Mail Plug-in user name?
A: Your password keeps your TeleMessage Mail Plug-in completely private and personal. The password assures that you are the only one sending messages from your account and reviewing replies to the messages that you sent.

5. Q: What if I don't receive my password to my mobile phone?
A: Please contact support stating that you did not get your password. Include the following details: TeleMessage User Name, mobile phone number, mobile service provider and country when requesting your password. We will conatct you.
Top
6. Q: What can I do if I forget my password?
A: You can have your password sent to you by SMS. Select Change Account/login from the TeleMessage dropdown menu. Click on Forgot your Password on the TeleMessage Log-in Panel.
You can also request your password at our website.
Top
7. Q: I cannot log-in, even though I think I'm using the correct username and password.
A: See previous question. Note: Your account may be locked because you have reached the limit of allowed password requests.
This may be because your User Name is case sensitive and you are not typing it in correctly. You may also have installed the TeleMessage Plug-in on a different computer.
Please enter the correct TeleMessage user details on all of your PC's if you are using more than one PC.

8. Q: I've changed my mobile number. Can I transfer my credits to my new mobile number?

9. Q: How do I set my TeleMessage Plug-in to work with my proxy server?
A: When you connect to the Internet you can connect two ways, direct connection, or connecting through a proxy server. If you are a connecting from home you most likely don't have to set the proxy server option, on the other hand if you are connecting to the Internet from your business you may be accessing the Internet through a proxy server. To input the proxy settings click on the 'Connection Settings' selection in the TeleMessage dropdown menu. You may obtain the proxy server information by either looking it up from your default browser connections settings or by contacting your network administrator. Enter the proxy server settings and click OK.

Product usage questions
1. Q: When I send an SMS message, how will the recipients know who sent it?
A: If you set the 'Send SMS replies to:' setting in the TeleMessage Mail Plug-in to 'My Mobile' then your mobile number will appear as the source of messages you send using the Plug-in.
However, if you set the 'Send SMS replies to:' setting to either 'My Email' or 'Both' then the sender of the message will always appear to be a different number that probably starts with your country code. In order for the sender of the message to be your mobile number you can select an SMS Template in your accounts SMS Settings that will insert your name into the beginning of the text of the SMS.
Top
2. Q: Can I change my TeleMessage Greeting Prefix?
A: Yes, you can. Each phone message starts with "This is a message from..." and your name. You can personalize the messages you send by recording your voice to replace that opening message. To do this, go to the TeleMessage dropdown menu in Outlook and select Voice Greeting. There you can record your voice or attach a voice file to be used as your personal greeting. Don't forget to set the "Play my prerecorded voice prefix at the beginning of messages that are sent to a telephone." checkbox.

4. Q: How do I set up my fax cover page?
A: You can customize your fax messages, by specifying the information to be displayed on the fax cover page. You can also create a header that will appear on the top line of every fax page. To design your fax cover sheet click on the Fax Settings option in the toolbar menu.

The FAX Settings window opens.

5. Q: Can I attach a document to a message and send it to a fax?
A: The TeleMessage service lets you send a message with an attachment and have the attachment print on the receiver's fax machine. Using the TeleMessage Outlook Plug-in simply attach the document to the message, select the recipient's fax number from the Contact's Devices list, and click Send. When you send the message to a fax machine TeleMessage will automatically convert the document, up to 53 pages long, to a fax that will print at the fax machine.

6. Q: What will happen if there is an attached text file when I'm sending SMS message?
A: If you send a message with an attached file to an SMS recipient it will arrive with text indicating that there was an attached file, like PDF or DOC, with the name of that attachment, e.g. <attachment:TestFile1.doc> or <attachment: TestFile2.pdf>.
If the attached file is a .txt file, then the attachment will be included in the text of the SMS you send. However, other attachment types, eg.g. .doc, .pdf, will only be referenced in the text of the SMS.

7. Q: How can I send a single message to a group of recipients such as my sales team and how is this priced?
A: You can define a distribution list of multiple recipients in Outlook using your Outlook e-mail contacts. When you address and send messages with the TeleMessage Plug-In, you will be able to send your SMS messages to the members of your distribution list. You will see an additional 'Distribution List (SMS)' address for each distribution list you create when addressing the message. When you actually send your message to the SMS distribution list, each recipient will receive their own copy of the SMS message on their mobile phone. Your Outlook contact record for each recipient must contain a mobile phone number in order for this to work. Since each recipient receives their own copy of the SMS message the pricing be based on one SMS message to each individual recipient.
Please refer to the Microsoft Outlook or Outlook Express sections of these FAQ's for detailed examples. Pricing is detailed in the Billing section of these FAQ's.

8. Q: I would like to have some or all of my e-mails sent to my mobile phone as text messages without requiring senders to do anything special or install any software on their end. Can this be done?
A: Yes. In order to receive an SMS notification to your mobile phone, you need to activate 'Email Forwarding' from the TeleMessage toolbar in Outlook. An SMS will be sent every time you receive a new E-mail in your Outlook inbox.
Then you can select 'Forwarding Rules' from the toolbar menu to add rules to fine tune which messages you wish to receive on your phone (or other device).
You need to have Outlook open, connected to the internet and able to receive and send email in order to have your email forwarded as SMS to your mobile phone.
Top
9. Q: Can I determine which e-mail messages get forwarded to my mobile phone when I use E-mail Notifications?
A: Yes, you can set the filtering options to specify which e-mails you receive on your mobile phone. In the TeleMessage Mail Plug-in menu, click on the menu then click on Forwarding Rules. For more information read our Short Reference Guide.

10. Q: I would like to use this service to contact friends so that they receive an 'email' (rather than just an SMS text message) on their mobile phones. For example, I'd like to be able to send an 'email' around 250 'words' long. Is this possible?
A: Yes. You can definitely send a "full" Email but it must be delivered as a sequential series of separate SMS messages.  This is due to limitations of SMS which limits individual SMS messages to a length that can vary by carrier, although 160 characters is the most common length limit.
Our TeleMessage Mail Plug-in will automatically break the message into the appropriate number of SMS messages for you if you have selected that option.  May we refer you to our demo for an example at: http://www.telemessage.com/download/demo/en/seeDemo2k.htm which shows an Email being created, including automatically splitting into multiple SMS [please note the Character Count field in the toolbar].
An example based on your 250 "word" Email:
If we assume that your average "word" is 5 characters (a typical measurement from typewriter days) and your Email consists of 250 "words", then the total number of characters would be 1,250 characters. If we assume your mobile provider uses the typical (but not universal) limit of 160 characters per SMS message, then your Email would require 1,250/160 or 7.81 (round up to 8) SMS messages.
Instructions for setting this feature in 'SMS Settings' from the TeleMessage dropdown menu in Outlook. (TeleMessage>Options>SMS Settings) follow:

Click on the SMS Settings option in the toolbar menu.

Select the maximum number of separate SMS messages to deliver per message using the dropdown menu.

Press the 'Apply' button after making your selection.

11. Q: How quickly will my messages be delivered?
A: TeleMessage will try to send messages to phones, fax machines, e-mail addresses and SMS devices as soon as you send them. However, depending on the volume of send requests, there could be up to 30 minute delay. Messages are delivered on a first come, first served basis.
Top
12. Q: Do I have a limitation on the amount of messages I send?
A: Yes, as a precaution and for fraud and security reasons, by default, each user is limited to send a message to up to 200 recipients in a single message and up to 200 messages/day. If you would like to change this limit please contact us with your request and we will do the requested change. Please allow up to 3 business days to implement your request.
Please note that the amount of messages you can send is also limited by the credit balance of your account>br /> Please note that the amount of messages you can send is also limited by the credit balance of your account

13. Q: When someone replies to the TeleMessage Mail Plug-in messages that I sent, how will I receive the reply?
A: By default, your replies will be sent to your e-mail. You can also specify reply preferences for the messages you send. To do this, go to your SMS Preferences in the TeleMessage dropdown menu. You can select to have your replies sent to your mobile phone, email inbox or both.
Top
14. Q: How can I listen and reply to a SMS?
A: TeleMessage Mail Plug-in enables you to hear only the messages that interest you. When you receive an SMS on your mobile phone you can listen to a specific message of interest by calling the number attached to the message you are viewing.
Each mobile phone has a different way of directly calling back the inserted number. (e.g. Nokia: Use Number ; Motorola: Send button ; Ericsson: Call).
Top
15. Q: How long are messages stored?
A: Your messages are kept on the TeleMessage server in your personal folders and are removed automatically.
Top
16. Q: What happens when my message encounters a busy line, no answer, a faxmachine or an answering machine?
A: When the system tries to deliver your message to a phone number, and the line is busy or there is no answer, TeleMessage will try again after 5 minutes. If the same thing happens, TeleMessage will try calling a third time 10 more minutes later. If for the third time the line is busy or no one answers, TeleMessage will send you an e-mail notifying you that it couldn't reach the phone number. If TeleMessage recognizes that a fax machine answered the call, it will notify you of this. If TeleMessage encounters an answering machine, it will play a short "Please Wait" message and music over the answering machine prompt and then relay the message. Please note that a part of the "Please Wait" message and music may be heard on the answering machine recording.
Top
17. Q: What does it mean when my messages do not seem to be going through?
A: If no valid destination exists when you send your message, you will receive an e-mail telling you that the destination or phone number is not supported. There are several things you can check:
First, you can check our SMS coverage to make sure your destinations are in our coverage plan.
If you would like us to extend our coverage to a country/area code we do not currently serve, please contact us.
Second, you can doublecheck that your destination phone number is entered in proper International format.
Your mobile phone number needs to be entered in International format, i.e. the number that a caller from outside of the country would dial to call this destination.
Please do NOT include the 011 international access number which is not needed and will usually cause your call to fail.
If this still does not work, please contact us and provide the date and time of the failed message, any error message you received, the destination mobile number, and the destination mobile service provider so we can investigate this for you.

TeleMessage Mail Plug-in for Microsoft Outlook Examples
1. Q: How can I send a single message to all my sales team and how is this priced?
A: In order to send a message press the button in your toolbar, which will open a new message window.

Press the To: button in the message window:

A window opens with all your Outlook contacts and their devices (arranged alphabetically):

By checking the device type(s) in the Additional Devices panel you can select which devices to display). Select a contact by selecting his Name (Devices) in the Show Names box and pressing the 'To', 'Cc' or 'Bcc' buttons, you determine the To, Cc and Bcc message recipients. You can choose multiple contacts devices per message.

You can define a distribution list of multiple recipients in Outlook using your Outlook e-mail contacts.
As with individual addresses your Outlook contact record for each recipient must contain a mobile phone number in order for this to work.
Since each recipient receives their own copy of the SMS message the pricing is based on one SMS message to each individual recipient.

Note: telephone numbers are taken from the Contact record in Outlook. The phone number must include the country and area code prefix.

The devices are moved to the To, Cc, and Bcc fields according to your selections.

When you are done with selecting the contacts and devices, press 'OK'

You will be returned to the message with your contacts and devices filled in. Continue typing and editing the message and send it just as you would a regular outlook e-mail message. When you are done, press the 'Send' button to send the message.

Simply add the destination number including country and area code. When you are done entering the destinations and the message content, press the 'Send' button.
  • If you selected 'SMS' in the 'Treat numbers as:' dropdown box, then when you enter a phone destination the message will be sent as a wireless text message.
  • If you selected 'Voice Call', then the message will be sent as a voice message.
  • If you selected 'Fax', then the message will be sent as a fax.
  • If you selected 'Let me choose' then when you click 'Send' the 'Check Names' window will pop-up and you will be prompted to select the message type for each destination number:

Select the address type for the destination and press OK for each destination. The message will be sent.

2. Q: How do I get my e-mail forwarded to my mobile phone?
A: You can receive SMS/text notifications on your mobile phone using the TeleMessage Mail Plug-in.
A notification would be sent every time you receive a new e-mail message (while your MS-Outlook is open). In order to receive a SMS notification to your mobile phone, you need to set an appropriate forwarding rule. A notification will be sent every time you receive a new E-mail.

Simple settings:
If you are an average user, use the simple activation of the notifications, by clicking on the checkbox on the 'Email Forwarding' button from the toolbar menu.

Advanced settings:
If you are an advanced user, you can select 'Forwarding Rules' from the toolbar menu, and configure new rules for email delivery:

A new window will open, where you can change your email forwarding rules. In the Forwarding Rules window, you can also manually edit and add rules to fine tune which messages you wish to receive on your SMS (or other device). For explanation of how to create new rules refer to 'How do I create new Forwarding rules?' section.

After setting the rules, click on the checkbox on 'Email Forwarding' button from the toolbar to toggle the email forwarding on and off:

Notes:

TeleMessage Mail Plug-in for Outlook Express Examples
1. Q: How can I send a single message to all my sales team and how is this priced?
A: In order to send a message press the button in your toolbar, which will open a new message window.

Alternatively you may select 'Send SMS' from the tray icon menu:

Press the TeleMessage To: button in the message window:

A window opens with all your Outlook Express contacts and their devices (arranged alphabetically):

By checking the device type(s) in the Additional Devices panel you can select which devices to display). Select a contact by selecting his Name (Devices) in the Show Names box and pressing the 'To' or 'Cc' buttons, you determine the To and Cc message recipients. You can choose multiple contacts devices per message.

You can define a distribution list of multiple recipients in Outlook using your Outlook e-mail contacts.
As with individual addresses your Outlook contact record for each recipient must contain a mobile phone number in order for this to work.
Since each recipient receives their own copy of the SMS message the pricing is based on one SMS message to each individual recipient.

Note: telephone numbers are taken from the Contact record in Outlook Express. The phone number must include the country and area code prefix.
The devices are moved to the To and Cc fields according to your selections.

When you are done with selecting the contacts and devices, press 'OK'.

You will be returned to the message with your contacts and devices filled in. Continue typing and editing the message and send it just as you would a regular Outlook Express e-mail message. When you are done, press the 'Send' button to send the message.

You can also address messages by entering the destination address directly into the To… field.

Top
2. Q: How does TeleMessage pricing work?
A: You can learn about our pricing at our pricing page.
TeleMessage uses "all-inclusive" message rates:
Prices differ based on destination country for SMS messages, calls to landline phones and mobile phones (Check  SMS coverage and  prices).
There is a charge for each SMS text messsage, or for each 1-minute interval of a voice or fax phone call.
Pricing for US destinations is $.08 per SMS message and $.10 for each 1-minute interval of a voice or fax phone call.
You can send SMS messages to a group of recipients but since each recipient will receive their own SMS message the pricing will be based on the total number of recipients. For instance, if you send one SMS message to 5 recipients this counts as 5 SMS messages.
The pricing for US destinations would result in a charge of $.40 for the group SMS message in this example.
If you send a two-page fax to a single US destination and it takes 1 minute per page then the cost would be $.20 to send the fax.
You can also calculate the price in other currencies using a link on our Pricing page.

Troubleshooting
1. Q: TeleMessage button has disappeared (I use Outlook 2002/XP, 2003).
A: The disappearance is probably due to a feature in Outlook2002/XP, 2003 which disables any add-ins for you if it feels that they are causing Outlook\u00AE to become unstable. You should be able to re-enable TeleMessage Mail Plug-in by doing the following:
  1. Select 'About Microsoft Office Outlook' from Outlook's 'Help' menu
  2. In the 'About Microsoft Office Outlook' dialog box that appears, click on the 'Disabled Items' button
  3. In the 'Disabled Items' dialog box select 'TeleMessage' from the list of disabled items and click on the 'Enable' button
  4. Restart Outlook

If you still have difficulties after this, please contact TeleMessage Support.

2. Q: TeleMessage button is only visible sometimes, like the first time I launch Outlook after a reboot
A: This is usually due to another program, such as a PDA synchronization application (e.g. Microsoft's ActiveSync), keeping open a "hidden instance" of Outlook even after you've closed the program. When you start Outlook for the first time after a reboot, TeleMessage Mail Plug-in's user interface (UI) is loaded as usual, but on any subsequent restarts of Outlook when a hidden instance is running, TeleMessage Mail Plug-in is not loaded. This is not directly related to TeleMessage Mail Plug-in, but results from the Microsoft implementation for COM add-ins when Outlook is running without a UI. You can get TeleMessage Mail Plug-in back without a reboot by going to the Windows Task Manager's Processes page and killing off all instances of Outlook.exe before restarting Outlook in the normal way.

3. Q: I installed TeleMessage Mail Plug-in a while ago, but lately Outlook seems to be really slow when I try to open or close messages. What's going on?
A: Delays in manipulating messages can be caused by a known (and we thought fixed) bug in Outlook, where the file outcmd.dat becomes corrupted when custom toolbars (such as the TeleMessage Mail Plug-in toolbar) are used in Outlook. There's a Microsoft Knowledge Base article on this subject 268978 - OL2000: The Outcmd.dat File Increases When You Add Custom Command Bars ,(http://support.microsoft.com/?kbid=268978) which indicates that Microsoft has a fix, but doesn't say what it is.

You can test whether this is the cause by locating the file with Outlook closed - a problem is indicated if outcmd.dat is well in excess of the 48 KB 'standard' size. To correct an overgrown outcmd.dat, delete the file with Outlook closed - if you find multiples, remove the one with the latest date and time. Outlook will remake the file when reopened, and, at least for a while, you should see that the delay on manipulating mail messages goes away. However, without a fix from Microsoft, the slowdown will recur eventually - it's obviously not directly related to TeleMessage Mail Plug-in.

Note: There is a down side in doing this: if you have custom toolbar locations, these are lost and will have to be reconfigured.

4. Q: TeleMessage toolbar doesn't display in the Message window
A: If you use Microsoft Word to edit e-mail messages it causes the TeleMessage toolbar in the e-mail window to not display. In order to overcome this matter deactivate using Microsoft Word to edit email messages in the Outlook Options menu.

From the Outlook main toolbar, Tools>Options>Mail Format. Uncheck the box before 'Use Microsoft Word to edit e-mail messages' and click Apply. When you go to create a TeleMessage the TeleMessage toolbar should now be properly displayed.

5. Q: When I am attempting to send a message I get the following error: "Failed to send message, Please verify recipient's numbers and check your internet connection.". Then I get the following error: "Sorry, your message was not sent, Please check your connection settings, If this problem persists please contact support"
A: In many cases this is due to being connected to the internet by a proxy server. If this is the case, you can configure the settings in the connection settings in your Plug-in toolbar, selecting TeleMessage, then Preferences, and then Connection Settings. Obtain the necessary information from your network administrator and then fill the correct details in to manually define the proxy.
If you are not sure if you are connected by a proxy server, you can send us the TeleMessage log file to study. The file name is tmlog.txt. You can find it with a search of your computer. From the Windows Start icon: Start>Search>All Files and Folders: All or part of the file name: tmlog.txt; Look in: Local Hard Drives. Make sure you select 'Search hidden files and folders' under 'More advanced options'

   A: 1. open Outlook
2. click on Tools > Options > Mail Format
3. under "Message format" in the pop-up window, uncheck 'Use Microsoft Office Word to edit e-mail messages'
4. click on Apply and then OK
